What Learniverse does
How Learniverse runs your internal training, where things are in the app, and the words it uses.
Learniverse runs your company's internal training for you. You say what each role must complete and by when. From then on, people are assigned automatically, followed up by email, and shown to you when they are not done. This page explains that loop, the four sections of the app, and the words you will see on screen.
The loop
A person joins with a role → the training needs for that role assign themselves → the agent follows up → you see who is not done.
Here is how that works at Northwind Supply, a distributor:
- A person joins with a role. You add Maya Chen on Team with the role Warehouse and her start date. She gets an invitation to your portal.
- Her training needs assign themselves. Safety basics applies to everyone and Forklift refresher applies to Warehouse, so Maya owes both, each with her own due date. Nobody assigns anything by hand.
- The agent follows up. It reminds Maya before each due date and keeps following up after it until she finishes. If she keeps ignoring it, it can flag her to the managers you choose.
- You see who is not done. The Dashboard says whether the team is up to date and names anyone who is late or due this week.
You set this up once: create your trainings, say who must complete them and by when, add your people, and turn on the agent. After that, a new hire needs only one thing from you: being added with the right role and their start date.
The four sections
The sidebar on the left has four sections. Each one answers one question.
| Section | The question it answers | What you do there |
|---|---|---|
| Dashboard | Is my team up to date, and what needs me? | Read the verdict, see who is late or due this week, and fix what is listed under NEEDS YOU. |
| Team | Who is on my team, and what does each person still owe? | Add people, give them roles, and open a person's training file. |
| Training needs | What must each role complete, and by when? | Create trainings with New training, set who takes each one and by when, and see how many people have finished. |
| Settings | How is this workspace set up? | The portal's address and look (ADDRESS, APPEARANCE, WELCOME), the agent (REMINDERS), co-managers (ACCESS), and your plan and credits (PLAN). |
Just under Training needs, View portal opens your portal in a new tab, so you can see it the way your people do. Unless you are on Team yourself, you skip the welcome video there and your progress is not saved. Under Settings, Help & resources holds this documentation, the release notes, a feedback board and the community. People with Viewer access see only Dashboard, Team and View portal.
Words you will see
| Word | What it means | At Northwind Supply |
|---|---|---|
| Workspace | One location or team, with its own people, trainings and portal. Some screens still say academy, as in Create new Academy in the workspace switcher. Both words mean the same thing. | Northwind Supply |
| Portal | The website where your people sign in and take their trainings, at an address such as northwind.learniverse.app or your own domain. There is nothing to install. | Maya opens it on her phone. |
| People | The staff whose training you track. They are listed on Team. Settings › PLAN counts them as learners. | Maya Chen, Luis Ortega, Priya Nair |
| Role | A job label that decides which training needs apply to someone. A person can have several. You create roles on Team. | Sales, Warehouse, Front desk |
| Training need | What must be completed, by whom and by when: one or more trainings, the roles in scope, Required or Optional, a due date, and how long a completion stays valid. The Starter pack step of the setup calls it a requirement. | Forklift refresher: Warehouse, required, within 30 days of starting, valid 12 months |
| Training | The content people take: modules, lessons, quizzes and videos. The editor and the portal call it a course. | Safety basics |
| The agent | The automatic follow-ups sent in your workspace's name: reminders before and after due dates, flags to the managers you choose when someone ignores them, and an optional weekly report. You set it up in Settings › REMINDERS. | Reminds Maya 3 days and 1 day before her date |
| Training file | One person's page, opened from Team: what they owe, their progress and answers, and their history. | Maya Chen's file |
| Owner, Manager, Viewer | Access levels for the people who run the workspace with you. A Manager can change trainings, the team and the settings. A Viewer can read but not change anything. | You are the Owner. |
What your people see
Your people never see the manager app. They open the portal in any browser, on a phone or a computer, sign in, and find a To do list with their trainings. They take each training step by step, and their progress is saved as they go.
Where to start
- Setting up for the first time? Follow the Quick start to sign up, go through the six setup steps and publish your first training.
- Want the exact rules? How it works explains who owes what, by when, and what each status means.

Good to know
- The sidebar may start folded. If you only see icons on the left, click the toggle at the top of the sidebar. Its tooltip says Expand sidebar.
- On a phone, the sections move to a bar at the bottom. Tap … for Settings, Help & resources and the workspace switcher.
- The app follows the workspace language. Menus, trainings, reminders and the portal use the Language set in Settings › ADDRESS, not your browser's language.
- Help is one click away. Use the chat bubble at the bottom right of any page, or write to support@learniverse.app.
